CDS provides a one-stop-shop on-campus solution to Middlesex University, covering account management, digital print and finishing services, plus external print management.

An internal review of their print procurement arrangements had concluded that service improvements and cost savings could be made by working simply under an exclusive contract with a single supplier. Only CDS could meet their requirements.

In the first six months, the partnership with CDS delivered the University £140,000 (31%) of print savings.

The requirement

Middlesex University (MDX) is one of the largest Universities in the UK with over 23,000 students and 1,300 academic teaching and support staff. Forward thinking with ambitious growth targets, the University also supports regional campuses and offices in India, Dubai and Hong Kong.

Previously MDX staff procured external print from a framework of suppliers alongside an on-campus print room managed by a third party supplier.

The university carried out an internal review and concluded that service improvements and cost savings could be made by simplifying these arrangements under an exclusive contract with a single supplier.

At the same time they wanted the new contract to offer a vehicle for change providing opportunities to innovate new services for the benefit of university students and staff.

With this in mind, the University procurement team wrote and published Invitation to Tender (ITT) in the European Journal for the provision of Print Services.

Key drivers for the new service would be:

  • a unified service covering on-campus print room and external print management
  • cost savings and added value at every opportunity
  • a true partnership aligned with the University’s aims, ethos and future vision
  • supporting the University in meeting environmental and sustainability targets
  • a supplier capable of delivering continuous innovation and added-value services over the contract term

The solution

Middlesex UniFollowing an extensive supplier evaluation, the panel chose CDS as the only company which met these requirements and, most importantly, understood the University’s future vision and goals.

We moved swiftly to implement the new service, establishing a new on-campus operation with TUPE of existing staff.

CDS provides on-campus account management, print and finishing services and print management of external print.

The solution includes:

  • An account management team, offering advice and consultancy
  • Triage to determine the optimum communication channel
  • Market testing of external print suppliers
  • Reprographics/digital print and finishing
  • Print management

During the first six months of the new contract, CDS delivered £140,000 in print savings to the University, whilst measurably improving service levels.

Following this success, the University invited CDS to develop the solution further across the entire document lifecycle to deliver additional benefits. Under the contract CDS now provides:

  • Creative Design
  • Template Central (web2print) for corporate publications
  • Digital Mail – scanning and electronic distribution of postal items
  • Document scanning and secure online storage
  • Managed Print Services (MPS) across the whole campus
  • Online student services -, yearbooks, photo books and dissertation binding
